Event Services
Whether planning a small gathering or a large-scale function, BBCC is a welcoming and well-equipped venue.
Big Bend Community College offers a variety of versatile spaces across campus for meetings, trainings, conferences, and special events subject to limitations within College Facility Use Board Policy BP8051, College Facility Use AP8051, and WAC 132R-136.
The organization / individual authorized to use BBCC facilities must designate an individual as the Point of Contact (POC), who will be present for the duration of the facility use and will provide supervision for the event. The POC name, email, and phone number(s) at which the POC can be reached before, during, and after the event must be included in the Facility Request Form. Any changes to the POC or their contact information must be immediately communicated by responding to the event confirmation email.
The requestor/requesting organization will be responsible for any and all thefts and/or damages that may result from use of the facilities and/or equipment, which shall include but not limited to, extra custodial charges and repair or replacement costs.
A completed Facility Request Form is required for all events.
After you review the information, instructions, and terms on this page and in AP8051, please complete the BBCC Facility Request Form with your event details. Our team will review, and if approved, help coordinate the room, setup, and support services to help make your event a success.
You will receive an automated response noting your request form has been received and the date received.
Incomplete forms will not be considered.
Your request and use of the facilities is not approved until you receive an event confirmation.
Forms must be submitted at least 2 weeks prior to the event at minimum. Due to the large number of event requests, your request will be responded to in requested date order, and there may be a delay in a response. More lead time may be required for events requesting special services.
If you have not heard from us 2 weeks after your submission, please REPLY to the automated response and ask for an update to your request.
Submission of the Facility Request Form indicates acknowledgment of, agreement with, and compliance with all applicable terms and conditions.
Please refer to the automated response or event confirmation email to notify Event Services of any cancellation or modification to your reservation.
Viking Eatery & Coffee Bar is located on campus and provides catering services. Please contact vikingeatery@gmail.com for information.
Subject to an organization receiving all legally required authorizations, BBCC allows beer and wine service but no spirits/hard alcohol. If you plan to serve beer and/or wine, it must be approved by BBCC in advance. When your event is confirmed, please complete the Request to Serve Alcohol Approval Form. This must be completed and approved prior to the event.
When beer and/or wine are served, BBCC requires a Certificate of Insurance for liability and property damage in the amount of $1,000,000, which names Big Bend Community College as the additional insured. This can be emailed to events@bigbend.edu.
Additional security is required when beer and/or wine are served. BBCC will contract
with a third party for security services and the expense is passed through to the
requesting organization. Usually, 1-3 security personnel are required for each event,
dependent upon the event details, such as, number of attendees, type of event, etc.
When the campus is closed for holidays, facilities are not available. No external events will be scheduled on the following days:
- New Year’s Day (December 24 – January 1)
- Martin Luther King Jr. Day (Saturday – Monday)
- Presidents’ Day (Saturday – Monday)
- Memorial Day (Saturday – Monday)
- BBCC Graduation Week (2nd week of June)
- Juneteenth (June 19 or observed weekday)
- Independence Day (July 4 or observed weekday)
- Labor Day (Saturday – Monday)
- BBCC In-service Week 0 (3rd week of September)
- Veteran's Day (November 11 or observed weekday)
- Thanksgiving (Wednesday – Sunday)
- Christmas (December 24 – January 1)
Event Services will unlock your reserved space at the setup time requested. Setup time must be indicated in the Facility Request Form. If the POC is not available at the reserved time, the space will not be opened. For assistance with unlocking spaces call Event Services at 509.793.2370 and leave a voicemail (message routed to a cell phone) or email events@bigbend.edu (email routed to a cell phone) to request they unlock the space. Unlock requests for live events will be responded to as quickly as possible. The availability to return to the location for an unlock request may depend on other duties.
Free wireless internet access is available.
Fees for custodial services, audio/visual equipment, and technical & event support may be assessed for the facility reservation. The use of any non-BBCC audio visual or other equipment must be approved in advance.
The pricing and fees listed below are provided for reference only and should be used as general guidelines. Final costs may vary depending on the specific needs of your event. Modifications and/or additional fees for setup, takedown, support, etc. may apply.
Requestors/requesting organizations will be billed after the event. Any estimates provided prior to the event are for planning purposes only and will be adjusted before invoicing based on actual services rendered.

*A 1.5% WA State Business & Occupation Tax is required on facility use charges and will be added to the final invoice.
The requestor/requesting organization of the facilities, including agreement signatories and individual organization leaders, shall be liable for any damage to BBCC property occurring or having apparently occurred during the time the facility was being used by the organization. The requestor also agrees to hold harmless and indemnify BBCC, its agents, employees, officers, trustees, students, and/or attorneys for any claim made against the College as a result of the requestor’s use of the College facilities.
The College reserves the right to require requesting organizations to purchase insurance, naming the College as the insured, and the College may specify the amount of that insurance.
